This Privacy Policy explains how MEEM FACILITY MANAGEMENT ("we," "us," or "our") collects, uses, and protects information when you use the TFMP platform (the "Services"). The Services comprise the TFMP Field Agent mobile application (the "App"), available on the Apple App Store and Google Play; the TFMP Admin Portal; and the web-based enrolment pages. These are internal tools provided to authorized personnel for conducting and recording field inspections and for administering and overseeing the inspection programme.

By using the Services, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Information We Collect

We collect the following categories of information when you use the Services:

• Account information. When you sign in to the App or the Admin Portal, we collect your account credentials and associated identifiers (such as your name, work email address, and user role) used to authenticate you and associate your activity with your account.
• Location information. With your permission, the App accesses your device's location — including while the App is running in the background — to record where inspections are carried out and to support inspection workflows in the field.
• Photos and camera. With your permission, the App uses your device's camera and photo library so you can capture or attach photographs as evidence for inspections.
• Inspection data. Information you enter or generate while conducting inspections — including inspection records, notes, assessments, timestamps, and associated media — which is transmitted to and stored on our backend systems and managed through the Admin Portal.
• Portal activity and audit logs. When you use the Admin Portal, we record sign-in events and an audit log of administrative actions (what was changed, by whom, and when), for security, accountability, and troubleshooting.
• Enrolment information. On the web-based enrolment pages, we collect the work email and the app-store (Apple ID or Google) account email you submit — together with basic technical data such as IP address and browser type — to set up and manage your access to the App.
• Device and usage information. Basic technical information such as device model, operating system version, app version, and — for the Admin Portal and enrolment pages — IP address and browser type, used to operate, secure, and troubleshoot the Services.

2. How We Use Your Information

• To authenticate you and provide access to the Services, including the App and the Admin Portal.
• To record, process, and store field inspection data.
• To associate inspections with the correct location, personnel, and time.
• To administer and oversee the inspection programme through the Admin Portal — including scheduling, assignment, reporting, and exporting inspection and personnel data to authorized users.
• To maintain security and audit logs and to detect, investigate, and prevent misuse.
• To set up and manage your device and app-store access (enrolment).
• To operate, maintain, secure, and improve the Services.
• To comply with applicable legal and regulatory obligations.

3. How Your Information Is Stored and Protected

The information described in this Policy is transmitted to and stored on backend systems operated by or on behalf of MEEM FACILITY MANAGEMENT. We use reasonable technical and organizational measures designed to protect information against unauthorized access, loss, or misuse. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

4. Data Sharing and Disclosure

The Services are internal business tools. We do not sell your information, and we do not use third-party advertising or analytics services. We may share information only:

• Within MEEM FACILITY MANAGEMENT and with authorized personnel who need it to carry out inspection-related operations.
• With service providers who host or support our backend systems (including cloud hosting and, for app distribution and notifications, the relevant app-store and messaging providers), under appropriate confidentiality obligations.
• Where required by law, regulation, legal process, or to protect the rights, safety, or property of MEEM FACILITY MANAGEMENT or others.

5. Data Retention

We retain the information described in this Policy for as long as necessary to fulfil the purposes described in this Policy, to meet operational and recordkeeping needs, and to comply with applicable legal and regulatory requirements.

6. Your Rights and Choices

• You can control the App's access to location, camera, and photos at any time through your device's system settings. Disabling these permissions may limit App functionality.
• Because the Services are provided in connection with your role at MEEM FACILITY MANAGEMENT, requests to access, correct, or delete your personal information should be directed to us using the contact details below and may be subject to internal policy and legal requirements.

7. Children's Privacy

The Services are intended solely for use by authorized personnel in a professional capacity. They are not directed to, or intended for use by, children, and we do not knowingly collect information from children.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
